So what else do you do with your database of Practices and Representatives names?

Absolutely nothing . We are constrained by the data protection laws which we respect unconditionally. As a subscriber your company will benefit from accurate practice personnel information which will be up to date as much as possible. Those primary care practices hold local directories of only medical representatives names, companies, mobile phone numbers, and in some cases e-mail addresses. The system does NOT record a Representatives private address. The limited information a mediary diary holds about a Representative is strictly held confidential both by practices and mediary management. Absolutely no information is passed on to third parties without permission.

Representatives can only book the appointments available to them, according to the practice’s policies on how many appointments are available to individual representatives in any given period, as at present Users of the system are authenticated to avoid any system abuse.

How often are appointments released?

mediary is able to offer a ‘rolling diary’ facility. This means that the traditional book opening is no longer needed as appointments are released on a daily basis in accordance with practice requirements. . If a representative is off sick or on holiday on the day of a book opening, they miss an opportunity to book an appointment, sometimes for a whole year. With the mediary rolling diary, according to practice rules, you may still have the opportunity to book the day you return to work, and so on.

How can representatives book relevant appointments in the area they work?

mediary is customised to the individual needs of each company, and each representative. Geographical territories are mirrored on the system so a representative can only view practices and appointments relevant to them.

Can the first representatives on the system book all the appointments?

No. Although the first representatives on the system will have an advantage in that they can choose from a wider number of appointments available. Early subscribers can benefit from being able to access appointments without waiting to attend a book opening Representatives are only able to book the number of appointments the practice has indicated they are entitled to.

What happens when a representative leaves a company?

Pharmaceutical companies can remove or add representatives to the system, as their personnel changes. This means that for the first time , appointments can stay with the company when a representative leaves.

Can the practice make appointments for representatives ‘outside’ the normal restrictions?

Absolutely, yes, special relationships are maintained and the practice remains in control. They are therefore able to book as many appointments as they wish for any representative, as is the case at present.

Yes, the availability of future appointments is at the discretion of practice management, many are available months in advance, for the first time appointments can be made for new representatives in advance, even when they are on the training course.

Aren’t representatives sitting in front of the internet a bit of a time waster?

Studies have shown that ‘average’ Representatives lose 75% of their daily time to travel, waiting, and making appointments. Today’s representatives lose a lot of valuable time lining up for ‘diary openings’ at outlying surgeries, and they usually don’t get the appointments they need. They travel many miles needlessly when the appointments are not achieved, or when the appointments are cancelled at late or no notice. They lose appointments when they have to attend alternative meetings or take time off. They also make appointments with non-target doctors when nothing else is available. The rolling diary releases appointments as they become available. This allows representatives to be in more than one place at once. Many fruitless miles are saved, as is all that travelling time. But from a planning perspective ETMS depends on representatives inputting manually their appointments or calls, and is often inaccurate or out of date. mediary always shows ‘live’ booked appointments, and any changes either by the practice or representative are instantly reflected in the system. mediary allows both in house and inter company appointment information to be shared when co-promoting (provided mediary has receipt of the necessary company authorisation) and highlights other team members’ appointments before an appointment is booked. This feature will help prevent representatives clashing with each others’ appointments.
