Do representatives register themselves?
Representatives can register at www.mediary121.net without charge where they can see all the practices using mediary on their territory. They may chose to buy a 30 day unlimited access subscription for only £2.50 per 30 day period, for each practice saving themselves and their company valuable travel time, petrol and phone calls. Representatives can also be subscribed through their company and can then book, cancel and swap appointment online within their own defined territories. However, all representatives can log on to www.mediary.co.uk, or www.mediary121.net for further information.

My doctors like to see only representatives that represent areas in which they are interested. Does mediary lessen control?
No, practices using mediary really like being able to reach those representatives that match their individual needs quickly and easily, using SMS text, notice boards, and even by attaching associated notes to a particular appointment, to be seen by a representative before booking. Practices may refrain from providing appointments to particular individuals or companies if they wish, just as in the current arrangements. Practices report they feel this helps them get more value from the industry.

Will Representatives be keen to use mediary?
Studies have shown that ‘average’ Representatives lose 75% of their daily time to travel, waiting, and making appointments. Today's representatives lose a lot of valuable time lining up for ‘diary openings’ at outlying surgeries, and they usually don't get the appointments they need. They travel many miles needlessly when the appointments are not achieved, or when the appointments are cancelled at late or no notice. They lose appointments when they have to attend alternative meetings or take time off. With mediary Representatives can be in more than one place at once. Many fruitless miles are saved, as is all that travelling time. They are advised of cancellations by ‘text’ and email, allowing alternative plans to be made. They are able to swap appointments with colleagues, in the event that they cannot attend. In just a few minutes each day Representatives get the appointments they are entitled to, without any travel, freeing them up for purpose of providing you with a service.

How does the practice manager cancel or change an appointment?
The practice manager or receptionists can cancel appointments online. He/she would simply go into the diary and select the appointment he/she wished to cancel, click on a button and then cancel the appointment. The appointment is then removed from the diary.

What notification will the representative receive?
At that point an SMS text and email is sent to the representative holding the appointment advising them that their appointment has been cancelled.

How does a representative cancel, change or confirm an appointment?
Representatives can cancel their appointments on line at the click of a button. They simply select the appointment from their list of booked appointments and click on Cancel. The appointment is then cancelled and released back into the system as an available appointment for another representative to book. Alternatively the appointment can be ‘swapped’ within the team

What notification does the practice manager receive?
When a representative cancels an appointment an automatic email is sent to the practice manager advising that the representative's appointment has been cancelled. The appointment then becomes available again in your diary.

How do representatives book appointments online?
Representatives simply search appointments in their area, by practice, date or "target lists". Representatives only see a list of appointments available to them, and not the practice diary. They select the appointment(s) click confirm and they are booked into the practice diary!

Can representatives swap appointments online?
Yes. Representatives can by mutual consent swap appointments on line. They can swap an appointment with any other representative registered in their area, from any company. When appointments are swapped the respective details are swapped in the practice diary.

Can appointments be transferred online?
Yes. Appointments can be transferred online but only within a company. Representatives cannot transfer appointments to another representative outside their own company. Thus once an appointment has been booked it remains the ‘property’ of the respective representative’s company.

Can the practice be selective and give their favourite reps extra appointments?
Absolutely, yes, special relationships are maintained and the practice remains in control. They are therefore able to book as many appointments as they wish for any representative, as is the case at present.

No, only a list of appointments that are available to them, the diary is private to you and mediary admin.

Who has access to the representative’s registration details?
Only the representative, their company and mediary administration support have access to these details. However, the representative’s name, company, mobile ‘phone number and email address can be viewed by the practices when appointments are booked. The mediary system does not keep any further details of a Representative.

Who has access to the practice details?
Only the practice and mediary admin support staff has access to the full practice registration details. Representatives are able to view basic name, address and contact details in the practice directory for their territory.

Only the representative, their authorised team members, and mediary admin support staff can view their appointments.

The practices are able to view representatives in their locality. mediary admin also have access to the directory but representatives and companies cannot view the representative directory.

As this is our core business we make security our top priority. The mediary site is constructed and managed by one of the world’s leading internet and computer security experts. The same company that provided the computer network for the Scottish legal system during the Lockerbie trial in The Netherlands. It also advises satellite companies on security.
